Q: I am satisfied with my current direct marketing vendor, why should I switch to Postal Systems?

Q: How long does it take Standard (bulk) Mail to be delivered?
A: Bulk mail typically takes 3 to 10 days for delivery, depending on the mail piece destination and overall USPS volume at time of mailing. However, there is no delivery time guarantee with Standard mail. We recommend using this rate if your piece is not time sensitive.

Q: How long will it take to complete and mail my project?
A: After we receive all material and data, most projects are completed within 1-3 business days.

Q: What happens when my mail is automated?
A: Additional postage discounts are achieved by preparing mail for automation. The process consists of standardizing address information, appending the zip+4 and applying a Postnet barcode onto the mailing piece. Postal Systems automates all mail whenever possible, unless otherwise specified.

Q: I have a list of clients in Excel format; can your data processing department accept this format?
A: Yes, we accept a wide range of file formats including Excel, CSV, Tab Delimited, ASCII Fixed Fields, DBF and Access. We can also convert lists stored in a word processing program, such as MS Word, into database format.

Q: I want my letters personalized, do you offer this service?
A: Yes, we offer high-speed mail merge laser personalization. Your data file is merged with your document to create a custom marketing piece.

Q: Can you provide a mailing list?
A: While we do not provide mail lists in-house, we can recommend several reputable list brokers to meet all your list needs.

Q: What security measures are in place to protect data and material?
A: System back ups occur daily, weekly, and monthly, and access to data files is strictly limited to authorized users. Moreover, our 10,000 square foot facility is secured by a sophisticated security system with motion, smoke and fire sensors throughout and contact sensors on every door (rollup and man). The system is tied into the Hayward police and fire departments; it is monitored remotely 24/7/365; and it includes digital access control - every employee with a key is automatically logged upon entry, and the digital keys are centrally administered. At any moment, a specific key can be deactivated and will no longer allow facility access.

Q: What is the minimum amount of mail I need to send to use a permit indicia and get postage discounts?
A: A minimum of 200 pieces is needed to qualify for Standard Mail and Nonprofit rates.

A minimum of 500 pieces is needed to qualify for Presorted First Class rates. However, if your mailing has at least 200 pieces and you would like to mail it First Class with a permit indicia, you can do so without receiving any postage discounts. This simply eliminates the added work of affixing postage.

Q: What is an indicia?
A: It is a postage permit imprinted on a mail piece (envelope, postcard, self-mailer, etc.), which replaces a stamp and tells the US Postal Service which mail class you are sending your piece.

Q: I do not have a bulk mailing permit – can I use Postal System’s indicia? If so, what is the wording and layout of your indicia?
A: Yes, you can. We have permit accounts at the San Francisco, Oakland, Hayward, and San Mateo post offices. Below are samples of company permits:

Please note that these require that your mail piece have a return address. If your mail piece does not have a return address, please give us a call and we wsill determine which post office and therefore which permit number is best to use for your mailing.

The permit imprint must be legible, of at least 4-point type, and must be printed in a color that contrasts with the paper or printing on the mail piece.

The permit imprint must be placed in the upper right-hand corner of the address area and must be aligned parallel to the address block.

Q: Can I view my reports online?
A: Yes, we can provide a wide variety of reports online.

Q: What is fulfillment?
A: Fulfillment means that we have the capacity to warehouse your product or literature. These items are ready to be fulfilled upon request. Online inventory reports can be viewed to assist with your inventory management.

Q: Can you warehouse my material for future projects?
A: Yes, we have 10,000 square feet of storage space at our customers’ disposal.

Q: Is there a job too small for Postal Systems to handle?

Q: Do Nonprofit organizations automatically qualify for Nonprofit postage discounts?
